PLANNING A FIELD TRIP USING A CHARTER BUS COMPANY
 
  1. Call around to check rates with different charter bus companies.
          a.   Ask if the company has School Pupil Acitvity Bus (SPAB) certified drivers.
          b.   Ask if the company has SPAB certified buses.
  2.       c.   Only those drivers/buses authorized by the State of CA and the CA Hwy Patrol can transport students
                to and from school on a school related/sponsored activities
  3. Notify Transportation (Doreen Wick or Jeannette Ford) that you have selected a company.
          a.   Transportation Department will verity the company has the following:
  4.                i.    Service Contract on file with the purchasing department.
                   ii.   Certification of Liability on file.
                   iii.  W-9 submitted to the District.
                   iv.  SPAB certification (will obtain proof) 
  5.     Transportation will notify the school contact if the company meets the standards and can be used for the trip.
  6.      a.   On the day of the trip - Transportation personnel will check the bus and driver to ensure they are SPAB certified
  7. Payment for the trip must first be routed through Fiscal Services.
  8.       a.   Transfer funds (make sure account has proper funding for the trip).
          b.   Create a requisition and save the number for the T-25.
          c.   Create a T-25 and submit to Transportation with the I-Visions number via Outlook to: "field_trips"
                for the date desired.
          d.   Check with Accounting for specific funding requirements.
          e.   Check with Accounting for questions about how payment is made to the Charter company.
     
  9. The school site principal, or designee, is responsible for authorizing the trip and signing the contract documents.
 
Students should not be transported in private vehicles unless the driver and vehicle meet the requirements outlined in Board Administrative Regulation AR3541.1(a).
 
Students should not be allowed to ride in a private vehicle unless an advance written permission slip signed by their parent/guardian is on file (AR3541.1(a)).
